As an independent transaction coordinator, I offer agents an opportunity to delegate much of their administrative burden to a competent professional who will get the job done in a timely and accurate fashion. Hiring a transaction coordinator is one of the best hires any real estate agent can make. We lighten the agent’s load so they can spend more time with clients and focus on getting additional transactions under contract. We strive to keep the process streamlined, organized, and (most of all) on-schedule to meet the Close of Escrow date.
Listing Side Transaction:
- Contract review for signatures and accuracy.
- Confirm DD & EMD checks are sent to appropriate parties
- Ensure acknowledgments signed and copies emailed to appropriate parties
- Confirm attorney has received contract and request information for seller’s documents to be drafted.
- Complete any necessary attorney forms
- Confirm inspection times with the buyer’s agent
- Send reminders of inspections, walk through, and closing
- Confirm DD repair request and inspection report, have been completed and submit any amendments after repairs negotiated by agent
- Confirm receipt of appraisal and upload any amendments
- Continue to follow up and communicate closing status with all parties
- Schedule any closing times needed for signatures
- Ensure agent receives seller side closing disclosure
- Utility reminders to seller
- Confirm walk through
- Reminder to order sign and lock box removal
- Remind agent to update status in MLS
- Confirm all closing documents are in agency compliance file.
- Ensure all needed agency documents are in agency file.
- 1 week follow up email to client after closing to thank them for their business and ask for online review or feedback for the agent
Buyer Side Transaction:
- Contract review for signatures and accuracy.
- Schedule closing time with attorney, complete attorney forms/portals;
- Confirm all inspections needed have been scheduled and send calenda invite to all parties.
- Stay in contact with all parties via email to ensure all documents and schedules are communicated
- Stay in contact with purchaser with reminders of next steps and what is needed from them.
- Stay in contact with lender to ensure the loan is progressing in a timely manner
- Keep track of deadlines per contract agreement
- Send reminders for inspections, walkthrough and closing.
- Obtain signatures on needed amendments and acknowledgements post contract.
- Confirm Due Diligence repair requests have been sent and negotiated by the agent.
- Follow up to ensure Due Diligence repairs and invoices are completed
- Update clients with Utility information and change of address information
- Confirm scheduling of final walk through
- Confirm agent has received the closing disclosure.
- Upload closing documents in agent file.
- 1 week follow up email to client after closing to thank them for their business and ask for online review or feedback for the agent
